Memo from Julie: PAID TIME OFF POLICY - eLog Update - Binder Checklist
Hi All,
I have a few announcements to share with you: The first regarding a policy that I am happy to be able to update. The PAID TIME OFF POLICY is being created to offer you two holidays off with paid leave. We have not been able to do this in the past; however, I feel it is of utmost importance to work this in at this time. All employees will be compensated at their usual hourly rate if they are an hourly employee, salaried employees and drivers will be compensated at a flat rate for each day. Christmas day and Thanksgiving Day are two special days that you should be able to spend with family. It is also a time when a shortened paycheck is not ideal. I hope that this helps each of you enjoy your holiday just a little more. I am hopeful that I will be able to add to this policy as soon as 2020.
Next, I want to let you know that I have recently met with our insurance agent in regard to our renewal. Our CSA scores in the past have forced us to fill out manual DVIRs. While we are still required to fill them out for now, know that our CSA scores in the area of Maintenance has improved. The majority of the violations which were from brakes and lighting has gone down but are still not quite where they need to be. in an effort to continue to improve these scores and hopefully be able to get rid of the manual DVIRs as well as lessen the risk of accidents for each of you, it is necessary that every driver has the ability to adjust his brakes.
If you are in need of a class and/or a tool kit to be able to perform brake adjustments please shoot me a text or give me a call, (540)-604454, so we can put together a class that might accommodate the majority of you at once. It is a requirement to carry the card of completion for the brakes cert. class and you must always have a tool kit on board. This does not mean that if you send your truck in for service and request a brake check/adjustment that the shop will not provide that service.
Our current CSA scores are as follows:
Out of Service rates:
Our BASIC status (Behavior Analysis & Safety Improvement Categories) look like this:
*As you can see the HOS has surpassed vehicle maintenance. As a team we need to work together to get these percentages down as low as possible. Each driver has an individual score and we have a team score. If you are interested in your individual score let me know and I can provide an individual report.
ELOG update: As most of you know our elog system is very troublesome, (to say it nicely). I am researching new systems and we should be updating soon. In the meantime, please carry paper logs and maintenance request forms. You can find the maintenance request forms in the mailbox at the shop. You should RED TAG trailers and leave the request in the mailbox if dropping during off hours and the trailer needs service. Take a picture if you would like to have your own copy of the maintenance request form. You may enter the maintenance request through your clog if it is working properly. For the first few times please follow up with a text message to Scott to let him know you have entered the request via clog. Additionally, a quick reminder for drivers about securing loads and pulling overweight. If you are not 100% sure that your tie down method is safe and at least standard for this industry, it is necessary that you ask for assistance. If you are traveling alone, pick up the phone and call Greg (540-636-3292 X=2, or 540-974-4172), if you have any doubt whatsoever. The same goes for pulling something overweight that you are not permitted for. If you feel the permit is not sufficient or the fabricator/customer is loading something that is different than you have been asked to haul do not haul the load without calling Greg. If you knowingly haul something without permission, you will be responsible for the fine.
Finally, I am providing a checklist for driver binders. If your binder is missing any of the following contact Allison immediately and she will make sure you get what ever you are missing asap. (540-636-3292 X=8, or 540-974-4168).
